Confidential Secretary (CS)

The Mauritius Renewable Energy Agency (MARENA), operating under the aegis of the Ministry of Energy and Public Utilities, is inviting applications from qualified candidates for the following position:

Confidential Secretary - on contract basis for two years


Qualifications:

A. Cambridge School Certificate with credit in English Language and French obtained on one certificate or a General Certificate of Education "Ordinary Level" with passes in at least five subjects with at least grade 'C' in English Language and French obtained on one certificate or an equivalent qualification acceptable to the Board.

NOTE: Candidates not possessing a credit in English Language at the Cambridge School Certificate will also be considered provided they possess passes in at least two subjects at "Principal Level" and one subject at "Subsidiary Level" as well as the General Paper obtained on one certificate at the Cambridge Higher School Certificate Examinations.

B. A Certificate/Diploma in Secretarial duties.

C. A certificate in word processing or data processing from a recognised institution.

Experience:

  • Two years experience

Candidates should:

  • be fluent in English and French;

  • be excellent in verbal and written communication skills;

  • be excellent in organisational skills and attention to detail;

  • have shown qualities of trustworthiness, discretion, maturity, tact and initiative.

  • be proficient with Microsoft Office Suite or related software;

  • be able to quickly learn, basic office and clerical procedures and equipment;

  • be capable of dealing efficiently with different stakeholders and with different executive levels;

  • have a pleasant personality and good interpersonal skills; and

  • be able to work under pressure.

SCHEME OF DUTY

Main Duties and Responsibilities:

The CS candidate will be responsible, amongst others, to:

  • arrange appointments, receive visitors and deal with enquiries;

  • maintain a systematic filing system for easy retrieval and safekeeping of important documents;

  • maintain, manage the calendar/schedule of the Chief Executive Officer of the Agency;

  • make telephone calls, screen incoming calls and determine the course of action required for satisfactory disposition;

  • take messages and facilitate the process of communication between the relevant stakeholders;

  • be proficient in Microsoft Office Suite;

  • perform general secretarial duties including the taking of notes, typing, classification and retrieval of records and documents;

  • take charge of Confidential Registry;

  • keep track of important documents, papers and make them available expeditiously;

  • prioritise work on a daily basis and to be responsible for ensuring that deadlines are met and appointments honoured;

  • ensure that meetings are well organised and take place in time and appropriate information is made available;

  • perform such other duties directly related to the main duties listed above or related output and results expected from the Confidential Secretary in the roles ascribed to him/her.
